How to Document a Platform Account Suspension or Ban Appeal
Account suspensions and bans on online platforms — whether a marketplace, social platform, freelancing site, or app store — can happen without warning and with minimal explanation. Appealing successfully depends on building a clear record of your account history, the policy as it applied, and why the enforcement action was mistaken or disproportionate. This guide covers what to collect before, during, and after a suspension.
Screenshot the suspension or restriction notice immediately
The first thing to do when an account is suspended or restricted is document what the platform is showing you. Access to the account may change or be cut off entirely, so act before investigating anything else.
- Screenshot the suspension notification — the full screen, including the reason given, any policy citation, and the date shown.
- Screenshot any email notification of the suspension, including the full message with headers visible.
- If the platform specifies which rule or policy was allegedly violated, screenshot the relevant section of that policy — as it currently appears on the platform. Note the date you captured it.
- If the platform shows any appeal option, screenshot that too — note any deadline stated for submitting an appeal.
Document your account history
Appeals are stronger when you can show a track record of compliant behaviour.
- Screenshot your account statistics if the platform provides them — account age, number of transactions, ratings, review history, sales volume.
- If the platform has sent previous warnings or strikes, gather those notices — they show whether this is a first-time action or part of a pattern the platform is citing.
- Export any data the platform allows you to download — order history, transaction records, message history. Do this as soon as possible; suspended accounts sometimes lose data access.
- Screenshot any previous appeals you have submitted and the platform's responses to them.
The alleged policy violation: build your counter-evidence
If the suspension cites a specific action you took — a listing, a message, a transaction — locate and document that specific content from your side.
- Screenshot the listing, message, or content that the platform flagged, as it appeared in your account before the suspension.
- If a third party complaint was involved (a buyer report, a copyright claim), screenshot any notification you received about the complaint.
- Gather any evidence showing your action was compliant: invoices proving authenticity for marketplace listings, correspondence showing context for flagged messages, identity or qualification documents if the suspension relates to eligibility.
- Screenshot the version of the policy that was in effect at the time of the action — if the policy has since changed, you need the version that applied, not the current one.
Your appeal submission
- Keep a copy of every appeal you submit — the text of the appeal and the date submitted.
- Screenshot the appeal form on submission, or save the email confirmation that the appeal was received.
- Note the appeal reference number if the platform provides one.
- Save every response the platform sends — including auto-replies that acknowledge receipt.
Escalation documents
If the platform's internal appeal is unsuccessful, escalation may be available through the platform's formal complaints process, a relevant industry regulator, or consumer protection bodies.
- The platform's final decision letter or message — this typically closes the internal process.
- Any reference to the platform's external complaints or escalation pathway if stated in their policies.
- For EU-based sellers on large platforms, note that the P2B (Platform-to-Business) Regulation may give you additional rights to a statement of reasons and access to an out-of-court dispute settlement body.

- Suspension notice and any prior warnings.
- Relevant policy at the time of the alleged violation.

- Escalation submissions and responses, if applicable.
